2. Data we collect
- Contact & inquiry data — name, email, phone, company, country, project details, and optional file attachments you submit.
- Newsletter data — email address and subscription status.
- Chat / lead data — messages and any contact details you share in the on-site assistant.
- Technical data — IP address, browser type, device info, pages visited, and approximate location derived from IP (for security and analytics).
- Proposal interactions — when you view, accept, or reject a client proposal via a secure link.
3. How we use your data
- Respond to inquiries and deliver proposals or project work.
- Send newsletters or marketing emails if you opted in (you may unsubscribe anytime).
- Operate, secure, and improve our website (including fraud and spam prevention).
- Comply with legal obligations and enforce our Terms of Service.
4. Cookies & analytics
We use essential cookies for security (for example admin sessions) and may use first-party analytics (visit counts) to understand site usage. We do not sell personal data. Where third-party analytics (such as Google Analytics) are enabled via our admin settings, those providers process data under their own policies.
5. AI usage
Some admin features may use third-party AI providers (for example OpenAI) to help draft proposal content. Client-facing chat on this website is rule-based and does not send your messages to an external LLM by default. If AI processing is used for a client engagement, we will disclose it in the relevant statement of work. Do not submit sensitive personal data into AI drafting tools unless necessary for the engagement.
6. Legal bases (GDPR-friendly)
Where applicable (including EEA/UK visitors), we process data based on: contract / pre-contractual steps (inquiries and projects), consent (newsletters and non-essential cookies), legitimate interests (security, analytics, improving services), and legal obligation when required.
7. Sharing & third parties
We may share data with: hosting and email/SMTP providers, payment processors if used for an engagement, professional advisors, and AI vendors when an engagement requires it. We require processors to protect data appropriately. We do not sell your personal information.
8. International transfers
Our infrastructure or vendors may process data outside your country. Where required, we use appropriate safeguards (such as standard contractual clauses) with providers.
9. Retention
- Inquiries & project communications — typically retained for the relationship plus up to 7 years for business and legal records.
- Newsletter — until you unsubscribe or we delete inactive lists.
- Security logs — typically 90–365 days.
- Uploads you send — retained while needed for the inquiry/project, then deleted or archived securely.
10. Your rights

11. Security
We use HTTPS, access controls, hashed passwords for admin accounts, rate limiting on public forms, and upload restrictions. No method of transmission or storage is 100% secure; please use strong unique passwords for any accounts we issue.
12. Children
Our services are directed to businesses and adults. We do not knowingly collect data from children under 16.
13. Changes
We may update this policy. The “Last updated” date above will change when we do. Continued use of the site after changes constitutes acceptance of the updated policy where permitted by law.
